This notice explains how Solent Raceway club uses personal information when you visit solentraceway.co.uk, shop with us, contact the club or appear in the racing information published on this website.
1. Who is responsible and how to contact us
Solent Raceway club is responsible for the personal information it handles through this website and shop. For privacy questions, requests or complaints, email admin@solentraceway.co.uk and put “Privacy” in the subject line. Include enough information for us to identify the relevant enquiry, order or race result; do not send card numbers or security codes.
2. Information we use and where it comes from
- Orders and enquiries: information you provide, such as your name, email, telephone number, billing and delivery addresses, products ordered, collection or delivery choice, and messages about an order or the club.
- Payments and transactions: the order amount, payment status, transaction references and information about refunds or disputes. Payment services may return limited card information, such as card brand and the last four digits.
- Existing accounts: account details, login activity and order history if you have an account. Guest checkout is available; shopping does not require creating a customer account.
- Website use and security: information generated by your browser and our services, including IP address, browser or device information, pages visited, referring pages, access times, and records needed to investigate errors or abuse.
- Racing information: driver names or racing names, classes, positions, lap times, personal bests and roof grades where displayed. These may come from race organisers and publicly available RC Results records rather than directly from you.
- Comments or other contributions, where available: the information you submit and related technical information used to administer or moderate it. Information included in an approved public contribution can be seen by other visitors.
3. Why we use information and our lawful bases
- Fulfilling orders and handling requested purchases: to take payment, arrange delivery or collection, communicate about an order, and handle returns. We use information needed to enter into or perform our contract with you.
- Keeping necessary business records: to meet applicable accounting, tax and other legal duties. The basis is compliance with a legal obligation where that duty applies.
- Club administration, support and website security: to answer general enquiries, maintain the website, prevent misuse and investigate problems. We rely on our legitimate interests in operating the club and shop, assisting visitors and protecting our services, while considering the effects on the people concerned.
- Publishing racing records: we rely on legitimate interests in administering competition, reporting results and maintaining an accurate club sporting record. See section 6 for public visibility and how to raise a concern.
- Understanding website use: with your consent, we use optional Jetpack and WooCommerce statistics to understand readership and shop use and improve the website. You can withdraw this consent using Cookie settings.
- Activities based on consent: where we ask for consent for an optional use, it applies only to that stated use and can be withdrawn. Buying from us or reading this notice does not by itself give consent to unrelated marketing.
Some information is necessary to supply an order. If essential contact, payment or delivery details are not provided, we may be unable to complete the purchase. Website calculations, including delivery prices and available payment methods, are automated using the basket and delivery or collection selection. Contact the club if you need help with an outcome.
4. Card payments
Online card payments are handled by WooPayments, working with Stripe. Card-entry fields are supplied through their secure payment service. Our WordPress shop does not store your full card number or security code. The service processes the information needed to authorise payments, help prevent fraud, and handle refunds or disputes. If an existing account holder chooses to save a payment method, a reference to that method is used rather than storing the full card details on our website.
Payment providers also have their own responsibilities and retention practices. Read the WooPayments/Automattic privacy information and Stripe Privacy Policy. Contact us if a payment or fraud check needs further investigation.
5. Who receives information
Relevant information is available to authorised club administrators and people helping fulfil orders or handle enquiries. We also use service providers for specific tasks:
- WooPayments, Stripe and associated payment services to process and support transactions.
- Postal and delivery services to deliver an order, using the contact and delivery information needed for that task.
- Website hosting, email, backup, security and technical-support providers to operate and protect the website and deliver service messages.
- Automattic services, including WordPress.com-connected Jetpack and WooCommerce features, for the functions enabled on this site, including statistics. See Automattic’s visitor privacy notice.
- Content-delivery services that supply software or other resources needed to display pages and charts; those services receive technical request information such as an IP address.
- Professional advisers, authorities or other recipients when disclosure is necessary for a legal duty, a genuine dispute or the protection of legal rights.
These services receive information relevant to their role. An external provider may handle some information under its own privacy notice, particularly where it has separate payment, fraud-prevention or legal responsibilities.
6. Public race results and contributions
Race results, lap charts, personal bests and roof grades published here are public. Selected racing results may also be shared on the club’s Facebook channel. Other people and search engines may copy or index public information. Contact the club if a name or result is wrong, or if you want us to consider an objection to publication. Parents or carers can raise concerns about a young racer’s information. We consider the person’s privacy and circumstances alongside the purpose of keeping an accurate sporting record. RC Results and social-media services manage their own copies under their own procedures.
7. Cookies and similar technologies
The website uses cookies and browser storage to support functions such as baskets, checkout, existing-account login and payment security. Standard WooCommerce basket cookies normally include:
- woocommerce_cart_hash and woocommerce_items_in_cart: session cookies used to recognise changes to a basket.
- wp_woocommerce_session_…: a basket-session reference, normally lasting two days.
- WordPress login cookies: used when you sign in; their duration depends on the login and “remember me” choice.
- Payment-service cookies and identifiers: used by Stripe for transaction security and fraud prevention. See Stripe’s cookie information for the relevant names, purposes and lifetimes.
Our cookie controls keep optional statistics tracking off until you choose to allow it. You can select “Accept optional”, “Reject optional” or “Choose settings” on the banner. Rejecting optional tracking does not prevent you from using the shop, basket or secure payment functions. Simply continuing to browse or closing the banner does not give consent to optional tracking.
You can change or withdraw your choice at any time using the “Cookie settings” tab at the bottom of the page. Complianz and the WP Consent API remember the consent categories you select. Complianz stores essential cmplz_* preference cookies to remember your choices and policy version, normally for up to one year. Clearing cookies or changing browser/device may mean you are asked again. We also respect supported Do Not Track and Global Privacy Control signals.
You can also block or remove cookies through your browser, although restricting essential cookies can prevent the basket, login or checkout from working.
8. Website statistics and external services
Jetpack statistics can receive technical information such as an IP address, page and referring URLs, browser details and visit times; if you are signed into WordPress.com, account identifiers may also be involved. The club sees statistics about website use rather than a list identifying each visitor. Automattic explains its handling and retention in the Jetpack Stats privacy information. You can contact us to object to use based on our legitimate interests.
Links to Facebook, YouTube, Google Maps and RC Results take you to other services. Those services handle your visit under their own privacy notices. If a page includes third-party embedded content, the provider may receive technical information when that content loads.
9. How long information is kept
There is not one retention period for all records. Our shop does not currently apply fixed automatic-deletion periods to order records. Retention decisions use the following criteria:
- Orders, payments, returns and disputes: whether the order, return, payment dispute or complaint is still being handled; the tax or accounting record period that applies to the relevant tax or financial year; and any continuing need to establish or defend a claim.
- Enquiries and account information: whether an enquiry or service relationship remains active, whether associated order records must be retained, and whether information is still needed to resolve a complaint or request.
- Technical and security records: the period needed to diagnose faults, recognise or investigate relevant misuse, and retain evidence of a specific incident. Providers may have their own separate retention periods.
- Published racing information: the continuing purpose of maintaining the club’s sporting history, the accuracy of the record and any privacy objection or correction request.
- Backups: routine website backups are scheduled weekly with one current copy retained. Replacement depends on a successful backup. Manual or archived backup copies can have different lifetimes; backup copies are considered when dealing with relevant retention or erasure requests.
We assess requests to remove information against these purposes and any applicable duties to keep it. Information that is no longer needed should be deleted or anonymised. Ask us for a retention review of a particular record if you want a more specific explanation. Payment, delivery and other providers may keep their own records for their separate responsibilities.
10. Processing outside the UK
Some service providers operate internationally and may handle information outside the UK, including in the United States. Automattic and Stripe describe protections such as approved transfer contracts and, for relevant US transfers, participation in the UK Extension to the Data Privacy Framework. Their privacy information explains the arrangements they use. Contact the club for information about the recipient and protection relevant to your data, or to request a copy of applicable safeguards.
11. Your choices and rights
Depending on the reason information is being used and the circumstances, you can ask us to:
- Explain the information we hold about you and provide a copy.
- Correct inaccurate information or complete information that is missing.
- Delete information, or limit how it is used, where the relevant right applies.
- Provide eligible information in a reusable electronic form or transfer it to another organisation.
- Act on a withdrawal of consent where consent is the basis for the activity. Withdrawal does not undo processing that was lawful before it.
Your right to object: you can object to processing based on legitimate interests by explaining your circumstances. You can always ask us to stop using your details for direct marketing. Email admin@solentraceway.co.uk to exercise these rights.
We may need proportionate information to confirm your identity or authority to act for someone else. We normally respond without undue delay and within one month, subject to the permitted rules on identification, clarification and extensions. Requests are normally free. If a right does not apply, or a legal duty prevents deletion, we will explain the position.
12. Questions, complaints and updates
Please contact the club at admin@solentraceway.co.uk if you have a concern. You can also complain to the UK Information Commissioner’s Office through ico.org.uk/make-a-complaint. Information about your rights is available from the ICO.
We update this notice when the website, providers or uses of information change. The date above identifies the current version. Where a new use needs additional information or a separate choice, the notice alone does not replace that requirement.
